What was required

H S Supply Chain Services has offices in multiple locations, and new sites are added from time to time.
They employ several contractual staff working on daily wages. The company faced several challenges when it came to attendance management.

    What we solved

    • They had diverse attendance processes across their sites. Attendance registers, biometric machines, cards, etc., were used at different sites leading to mismanagement of attendance data and a lack of transparency.
    • The contractual staff keeps changing frequently, and several new staff report to the sites daily. Onboarding new staff every day was a time-consuming process.
    • Most of their staff are lower-skilled and uncomfortable using complex attendance solutions.
    • Biometric or finger-based attendance capturing was not feasible, as many of their staff members have faded fingerprints due to manual labor.
    • Controlling the number of staff procured from a contract agency was another challenge. Each agency can supply only a fixed number of staff that was agreed upon. There were several instances of agencies sending additional staff and billing for the same.
    • The total number of staff and those required at each site keeps fluctuating daily as per the demand. Thus, staff procurement, tracking, and allotment was a task.
    • They had staff working for them day and night, and managing their shifts and implementing policies around shifts was challenging.

    How We created Opportunity

    • Truein's automated and face recognition-based solution easily captures and tracks attendance. The system is accurate and helped avoid proxy attendance.
    • Real-time centralized view enabled them to quickly check the number of staff, both site-wise and category-wise.
    • Kiosks were installed at all the sites, and the staff could be onboarded or added instantly. This helped the staff to start working immediately as no time was spent waiting for the admin to onboard the staff.
    • As Truein is face-recognition based, the staff can easily take attendance by showing their face on the kiosk app. They did not have to read any instructions or follow specific steps to mark attendance. Besides, faded fingerprints were also no longer an issue.
    • The contractor-level limit feature helped to control the number of staff sourced from a contract agency. The contractor agencies could no longer send additional staff and bill for the same.
    • The site-level limit feature helped manage staff supply at each site, which keeps fluctuating every day.
    • Truein's auto-shift feature helped assign shifts automatically. Additionally, Truein offered customizable policies for late marks, overtime, etc.
